Is there a way that I can color-code events in my calendar?

At the present time, this is not possible. The next version will allow you to add tags to your events (the same as the tag feature in Email), which will give you a similar functionality.

 

How can I print a daily schedule without notes or agenda items?

There are two ways you can do this:

Option 1 - Copy and paste the information into a Word document, and print that out

Option 2 - Do a screen capture (press Alt + Print Screen) and paste that image into a Word document to print out

 

How can I view meetings that last for less than half an hour without opening the event?

Mouse over the event and hover on the calendar for more information on the event.

 

Is it possible to change the list of calendars to make it collapsible, while still showing new events?

In the current version, this is not possible. We have no information on whether or not this will be available in future versions.

 

Can events be duplicated using something similar to the copy and paste feature in Word?

In the current version, this is not possible.

 

When I'm proposing a meeting, how can I view the current calendar schedule?

There are two ways to do this:

Option 1 - Click on "Schedule" to view the available time of users

Option 2 - Open a second window (in a separate browser) to display the current calendar

 

Can I search for events in the calendar?

This is not available in the current version, but will be available in version 5.0 which should be arriving in the summer of 2008.

 

How can email meeting requests go to the calendar administrator, not the calendar owner?

Create a filter for notification messages (the Help Desk can help you with this if you don't know how)

 

How can I accept proposed meetings for the calendar of someone else if I manage their calendar?

To accept/decline events for someone else, select their calendar while logged into your Zimbra account, right click on the event, and select accept or decline.

 

Can meeting reminders pop-up on top of other windows?

Not in the current version.

 

How do I view two meetings scheduled for the same time?

When viewing your calendar, the two meetings will appear to overlap, so each is partly visible, and you can click on either one as needed.

 

How can I add private activities to my calendar (which I don't want anyone else to see) if I've shared my calendar with someone else?

In the current version, this is not possible. What you can do, however, is create a second calendar for your private events and don't share it with anyone else.

 

How can I save an email I'm working on if I have to switch to my calendar to view something and then return to the email?

Click the "Save Draft" button. Then go do your work in the calendar. When you return to email, go to the "Drafts" folder, and double click on your message to continue editing it.

 

Is it possible to have the calendar automatically refresh so I don't have to keep hitting the "refresh" button to see changes?

In the Options tab, go to the Mail sub-tab. Change the Polling Interval to two minutes (the minimum time allowed).  This will refresh both the email and calendar screens every two minutes.

 

Every time someone changes a meeting to which I've been invited, even if it's just to invite another person, I get an email. Is there any way to stop this?

Not in the current version, but we have asked Zimbra to look into this.

 

If I decline an invitation, why do I still see it on my calendar in a pale color?

This is a feature of the calendar system. After declining a meeting, you can delete it from your calendar if you don't want it at all. The idea is that you could later decide to accept the meeting if your schedule changes.

 

Is there an "auto pick" function, like there was in Meeting Maker, which allowed a meeting proposer to have the system automatically find an available time for all of the invitees to a meeting?

There is no comparable function in the calendar. It is possible that this will be made available in a future version, but we have not received any information on this.

 

Overlapping meetings on a calendar make it hard to read. I've heard that this has something to do with the text in the meeting 'boxes' making them longer than they need to be so they can be read. It makes it very hard to print a readable calendar. Is there a way to print a calendar as text-only to get around this?

Not at the present time. We have been told that Zimbra version 5.0 will fix this problem, but we have no release date for this upgrade, so we're not sure when we'll have it for our system.

 

In the default view of a daily calendar, the day starts at 1:00 in the morning. Is there a way to change that so that the default earliest time shown is something later?

This is a known bug in version 4.5.7 (our current version of Zimbra). This may be fixed in version 4.5.9, which will be out soon, and which we will switch too shortly after it comes out.

 

In Meeting Maker, if you proposed a meeting, you could look at that meeting to see who had replied, and whether they were going to attend or not. Is there a way to do this in calendar?

The current version has no such function, but we have been told that the next version will have a better tracking tab which will show who has accepted proposed meetings. For now, you have to keep track of the email responses to your proposed meeting to know who is or isn't attending.
