Guiding Principles for:  Media Classroom Committee

The purpose of these guiding principles is to document the role of the Media Classroom Committee and provide direction when developing plans for adding, removing, updating or renovating media classrooms.

Understanding that there are teaching changes on a regular basis, the primary goal of the committee is to annually evaluate existing media equipped rooms. As part of this process, the committee will develop recommendations for existing equipment modifications and/or new equipment taking into consideration both media needs and funding availability. Considerations for equipment installations will include current media usage, room availability, programmatic needs, and alternate academic/administrative use in order to foster the most flexible and fiscally responsible decisions.

Overview:

Currently there are 131 media classrooms and 22 Computers on Wheels (COWS) with different configurations – see document media classroom-COW info for a listing of the rooms, their locations and configuration. Also, available is a document called media room specifications that defines what each configuration consists of.

Committee Members:

There are 7 academic deans, the director of User Support Services, an assistant director for User Support Services and the associate director for Facilities on the committee.

Equipment Life Cycle:

All media classroom equipment is part of a five year upgrade cycle. All new media equipment will be added to the life cycle process and funded by IT.

Note: New equipment may be approved on  a different time schedule by using specific school’s IT technology allocations . However, the ongoing upgrade costs, for that equipment, will also be funded via the specific school’s IT technology allocation.

Project requests:

Typically requests are made at the beginning of the academic year (September) with installations occurring after the next fiscal year approvals (July). All requests should follow the current IT request process and be made via the on-line academic request system.

Once the committee has received all the requests it will, review, develop a prioritized list and forward those requests. All media classroom installation/modification requests have to go through the college’s campus wide Facilities Project request process. Only those projects approved by the Facilities project committee will be funded and completed as part of that fiscal year projects.

Equipment installation/modifications:

The goal is for most installations/upgrades to occur during the summer and other semester breaks to help minimize scheduling disruptions.

Process:

  • Facilities schedules the space and completes identified responsibilities (electrical, data, etc…)
  • IT schedules the space and completes media equipment installation, testing, training
