Guidelines for Employers Posting Jobs
All departments will submit job postings through SES - Student Employment System.

Posting Open Positions
- All Positions must be posted on-line, ABSOLUTELY NO EXCEPTIONS!
- Click on the above link, SES (Student Employment System) for Employers, and sign in using your Unix Login and Password.
- To post a new job, click on the link that says "Post a New Job." Complete the form, making sure that you enter a start and end date that are appropriate for the employment period (ie: for the academic year 08/21/2005-05/12/2006).You must supply a job description and requirements for the position. Upon completing all the fields please hit the "submit" button. Verify all information and hit "continue". You will be returned to the original login screen and you should see the job you just posted under "current jobs" with a new job code assigned to it.(If you are referring students to this position please tell them to apply using this job code number.)
- Career Services will review postings within three working days of receipt.
- Postings will be approved based on compliance with College policies on Affirmative Action/EEOC.
- You can determine if your job has been approved by checking the status in the "job approved" column adjacent to your new job posting.
- Once positions are approved, they will be posted by Career Services on SES.
Receiving Applicants
- Once a job posting is approved by Career Services, students are able to apply via the SES Job Listings page.
- After a position has been posted for a week, an applicant list will be sent through SES. The applicant list is viewable by selecting "View Applicants".
- The "Detailed View" link will show you the students' contact information so that you can schedule interviews.
- If you do not fill the position with the first round of applicants, you can request an additional list by using the "Request More Applicants" link in SES or by emailing stuempl@tcnj.edu. Please provide the job code to expedite the process.
*Note: Departments may only interview/hire students listed on the Applicant List in SES.
Students who approach you about a job should be directed to SES. This does not guarantee that you will see them on your list, so please do not consider students for employment until they appear on your applicant list.
Interviewing & Hiring Process
- Once applicants appear on the department's Job Posting page on SES, the department may begin interviewing students.
- When a hiring decision has been made, be sure to click the "Hire Student" link. This will generate a Student Employment Agreemen for the student at Career Services.
- If the candidate was not selected or is not a match for that position, please click the "Reject" link and provide the reason for rejecting the student.
- Departments should remove their positions as soon as they are filled by selecting "Remove Job".

Beginning Work & Signing the Employment Agreement
- All students who have not worked on campus, must come to the Career Services office, located in Forcina Hall 158, prior to the first day of work to complete employment forms required by the Federal government (I-9 and W-4). Please note: Although located on campus, Dining Services and The Bookstore are considered off campus employers. If a student has worked for either office before working for your department that student must come to Career Services, prior to the first day.
- Departmental Supervisors remind students they will need to provide Career Services personnel the federally approved identification documents to complete the I-9.
- If the student chooses not to use the original social security card as one of the federally approved identification documents we ask the student to provide 1 document (originated by an outside source) containing their legal name and social security number. This is to assist in payroll purposes.
- Prior to starting the student on the first day of work, the supervisor will receive an email from Student Employment System (SES) stating the student has completed all necessary forms and is eligible to work.
- If you have not received an email regarding the hired student or the student does not appear in your "Start Student List," contact Career Services, X2161.
- If the Department does not receive a time sheet for the student, contact Career Services, X2161, immediatedly.
Rehire Process
(Please keep in mind that students need to be hired for the Academic year and for Summer employment periods)
- To rehire a student into a job for a new employment period, you must first click on the "Remove Job" link if the job you want to recreate is still listed under "Current Jobs". Please be careful not to rehire students into outdated job postings.
- Go to the "Recreate Job" drop down menu and select the appropriate job. Enter the dates for the new employment period (i.e. Academic Year 8/21/2008 - 5/12/2009).
- Indicate whether you would like to post the position or not. If you are only rehiring, indicate "No". If you are rehiring but also need new students, indicate "Yes", in which case the job will need to be approved by Career Services before being posted.
- Once the job is recreated, it will be assigned a new job code and will appear under your list of Current Jobs. Click on the "Rehire Students" link and select the students that you would like to rehire. If you are rehiring and posting the job for new applicants, you can still complete the rehire portion of the process.
- Once hiring is completed, please close the job posting by selecting "Remove Job". This will help Career Services to keep the Job Listings Site up to date and will help to avoid frustration from students. Keep in mind that you can recreate the job at any time if you need to do more hiring.
Starting Students
On the day a student begins work for each employment period (Summer or Academic Year), log into SES and click the "Start Students" link. Click "Start" for any student who has begun work on that day. This is the step allows a smooth transition into the Payroll system. If the Department does not receive a time sheet for the student, contact Career Services, X2161, immediatedly.
- Student Work Hour Limits
- No more than 15 hours/week during semesters
- No more than 40 hours/week during semester breaks
- Minors under 18 years old
No more than 6 consecutive days
No more than 8 hours/day
No more than 5 continuous hours without an interval of at least 30 minutes of unpaid break
No more than 40 hours/week during semester breaks
