Year End Accrural Use

It is important that employees review their leave records and consider carry over limitations when scheduling time off for the balance of the calendar year. This will help to assure that vacation and energy day accruals are maintained within the established limits, and to avoid loss of excess accruals in the new calendar year.

Vacation Leave Carry Over

Pursuant to negotiated union agreements and New Jersey State Administrative Code, a maximum of one full years vacation credit may be carried over from one calendar year to the next. Each January vacation accruals up to the equivalent of one years time are automatically carried over and credited to the employee's leave accrual records. At that time, any vacation accruals in excess of the maximum allowable carry over are automatically zeroed out. Under certain circumstances, The College may consider allowing the carry over of excess vacation credit. If a compelling business need existed where approval of vacation time off to an employee would have been detrimental to College operations, The College may authorize the carry over of excess vacation credit. In such instances, supervisors may submit a written justification requesting an exception to the vacation carry over limitations to Human Resources. Requests for exceptions to vacation carry over limitations must be forwarded before the end of the calendar year for which the exception is requested. If approved, the employee may be allowed to carry over part or all of the excess vacation credit to the following calendar year. Such time must be used within the first three months of the calendar year. If not used within the three-month time period, the excess vacation credit will be considered forfeited.

Energy Leave Carry Over

Typically energy days may not be carried over from one calendar year to the next. However, there are local agreements pertaining to winter Energy Savings Program closures, which specifically provide for the carry over of one energy day in years where January 2nd falls on a Friday. Please take the time to review your current vacation and energy day credits. If you anticipate exceeding the maximum carry over allowance, discuss with your supervisor the feasibility of scheduling additional time off before the end of the calendar year.
