A
Academic Career – Gathers academic work taken by a student at an institution into one record. A career can be considered a student's primary path or purpose for attending an institution (undergraduate student, graduate student, non-degree student). Depending on the Academic Career, applicants are eligible for specific Programs, Plans, and Sub-Plans that fall underneath that career.
Academic Group – The top level within the TCNJ1 institution within which courses are offered. Groups at TCNJ include the School of Business, School of Arts and Communication, etc.
Academic Institution – In Campus Solutions, this is the name of the college or university. Our system’s academic instituion is defined as TCNJ1.
Academic Interest – An area in which a TCNJ prospect or applicant has shown interest. Interests are not restricted to TCNJ offered Majors and Minors.
Academic Organization – The organization is the academic department. Organizations at TCNJ include Communication Studies, Psychology, etc.
Academic Plan – An area of study—such as a major, minor, or specialization—that exists within a Program or Career.
Academic Program - The entity to which a student applies and is admitted and from which the student graduates.
Academic Reason – The academic reason is used to explain why a Program Action was taken and may provide details of that action.
Academic Structure – The collection of setup tables in the PeopleSoft system that define TCNJ to the PeopleSoft Campus Solutions system. This is basis for all parts of the system, representing TCNJ’s actual academic structure.
Academic Sub-Plan - Directly linked with an Academic Plan and can be used to represent further specialization in a specific area of study or curriculum (i.e. concentration).
Adjustment Calendar- The adjustment calendar is used to adjust a student’s account after s/he has withdrawn from a class or a term. Students are refunded based on the amount of time elapsed from a preprogrammed date. This acts in the same way the current TCNJ Records and Registration refund calendar does.
Auto-Populate – When tabbing out of a completed field, Auto-Populate will cause other fields to automatically fill in as well.

Billing Careers – If a student is enrolled in both a TCNJ graduate and undergraduate career, the student will only be billed in one of these, called the billing career.
Bio/Demo Data – Identifying information about a person including name, birth date, gender, citizenship, etc.
Business Process - Written descriptions of steps to be followed in accomplishing a specific business-related task.

3C Group – The group of users (e.g. admissions staff) that are given access to a particular function.
3Cs – Communications, Comments, and Checklists.
Campus Solutions – Oracle PeopleSoft’s software suite formerly known as Student Administration.
Catalog Nbr (3 digits) – Number assigned to a course that appears in the Course Catalog. You do type this in. For instance, for SOC-205, the number “205” is the Catalog Number.
Class Number (5 digits) – Unique number assigned to a class. At TCNJ, fall class numbers begin with an 8, spring classes with a 4, and summer with a 6.
Class - A class is a specific offering of a course within an academic term.
Component - A collection of pages related to a particulare task. For example, the Test Table component includes Find Existing Value, Add New Value, and Test Tables pages.
Course - A course is found in the course catalog and has a standard syllabus and credit level. Courses can contain multiple components such as lab and discussion hours and may be modified at the class level.

Effective Date - A date the system uses to determine when information becomes active. This date may be overriden to show a past or future date.
Empl ID - A unique five-digit identification code issued out to every TCNJ student, faculty, and staff member.
Equity Item Limit - The amount of funds set by the institution to be awarded with discretionary or gift funds. The limit could be reduced by amounts equal to such things as expected family contribution (EFC) or parent contribution. Students are packaged by Equity Item Type Groups and Related Equity Item Types. This limit can be used to assure that similar student populations are packaged equally.

Filter - Also known as a local limit, a filter is a dynamically-applied restriction on data previously returned by the processing of a report.
Fit/ Gap - The process of analyzing where a new system "fits" with an organization' business processes and where there are "gaps" between the system's functionality and the organization's needs. When the organization's needs are met by the new system, a "fit" occurs. When those needs are not met, a "gap" exists and is addressed through user training and system modifications.
Financial Aid Term - This term is a combination of a period of time that the school determines as an instructional accounting period and an academic career. It is created and defined during the setup process of the new system.

General Ledger Interface - When G/L Interface process is run transactions from Student Financials are moved to the General Ledger.
Go Live - The moment in which new modules or systems become available for users.

I
IDP (Interactive Design and Prototype) Sessions – Collaborative sessions that include project staff and consultants used to examine current and future processes as affected by the PeopleSoft implementation.
Inquiry Access - Access that enables the user only to view data. .
Item Shuffle - A process that allows you to change a payment allocation without having to reverse the payment.
Item Type - An identifier that classifies an item on a student's account that lets the school uniquely categorize the student's bill.
J
Joint Communication - A situation in which a letter that is addressed jointly to two people. For example, a letter might be addressed to both a student and a guardian. A relationship must be established between the two individuals in the database, and at least one of the individuals must have an ID in the database.
Just-in-Time Training - Training on any given task that is offered as closely as possible to the actual time when a user will begin using the new system to accomplish that task.
K
Keyword - a term that you can link to particular elements within PeopleSoft Student Financials, Financial Aid, and other modules within the system. You can use keywords as search criteria that enable you to locate specific records in a search box.

Load/Edit Parameters - The criteria used to select records to be processed.
LMS - The Learning Management System is a Student Records feature that enables the sharing of content and data. This system is mainly used by advisors to review a student's progress.
M
Mass Change - This is a SQL generator that can be used to create specialized functionality. By using mass change, you can set up a series of Insert, Update, or Delete SQL statements to perform business functions that are specific to The College.
Metadata - Data about data.
N
National ID - Term for Social Security Number.
Navigation Pages - An alternative means to access components within a menu folder.
Need - The difference between the cost of attending the school and the student's resources as determined through a need analysis.

Oracle- The software company that took over PeopleSoft in December of 2004.
P
Page - Display and data entry screen.
Page Element - An icon, link, or button with a standard use that appears on pages. For example, the calendar button can be used on many different pages to select a date.
Person Record - Data in PeopleSoft that uniquely identifies a person. Includes information that identifies a person, such as: name, birth date, gender, citizenship, ethnicity, address, and telephone number. Each person has only one person record in PeopleSoft.
Prospect - A student that has expressed interest in attending TCNJ or an individual that TCNJ is interested in.
Q
Query - A reporting tool that allows a user to create simple reports.
R
Rating Component - Variables used with the Equation Editor to retrieve specified populations
Record Group - A set of logically and functionally related control tables and views. Record groups help enable TableSet sharing, which eliminates redundant data entry. Record groups ensure that TableSet sharing is applied consistently across all related tables and views.
Results - In student reporting dashboards, the raw data returned to the user after running a query.

Sandbox Database - SAND is a practice system available to end-users who have undergone training in specific areas. Allows supervised practice of real-life functions.
Search Match - Powerful tool used to determine whether a person is in the database.
Service Indicators (negative or positive) - These are the same as holds in our current SIS system. An indicator appears on a Student Services Center page and on prospect and application pages as star icon (positive) or circle-with-slash icon (negative).
Session - A time period that subdivides a term (a semester or a summer term) into multiple time periods during which classes are offered.
T
Time Span - A relative period, such as year-to-date or current period, that can be used in various PeopleSoft General Ledger functions and reports when a rolling time frame, rather than a specific date, is required.
Tracking Group - A combination of one or more related checklists into a single unit for ease of monitoring their progress toward completion.
Tuition Lock - A feature in the Tuition Calculation process that enables you to specify a point in a term after which students are charged a minimum (or locked) fee amount. Students are charged the locked fee amount even if they later drop classes and take less than the normal load level for that tuition charge.
U
Universal Navigation Header - Every PeopleSoft portal includes the universal navigation header, intended to appear at the top of every page as long as the user is signed on to the portal. In addition to providing access to the standard navigation buttons (like Home, Favorites, and signoff) the universal navigation header can also display a welcome message for each user.
Update Access - A type of security access that permits the user to edit and update data.
