IT Academic Budget Information

IT funding will be reserved for each Academic school. Each dean, through consultation with IT, will determine purchases throughout the year. All funding will continue to be monitored and managed through the central Information Technology office. Also, all initiatives will still go through IT to verify technology standards and ability to support. Information Technology will continue to accommodate, the replacement cycle of individual computers and printers, existing hardware and software licensing and smart classroom technologies.

Allocations will be communicated to the deans in the month of August.

Each year, funding will be based on current Full-time Faculty Equivalent numbers by school. Each dean will receive the funding allocation for their School

In addition to the funding for your School, Academic Affairs has funds that can be requested for projects that might benefit several schools or for costs that exceed your school's allocation. These requests can be submitted to the Provost's office.

Communication process:

We've developed the following communication plan to ensure that communication for budget items as well as all other IT discussions. This plan combines regular meetings at several different organizational levels with clearer understandings of roles and responsibilities.

 

Below is a proposed communication calendar for both budgetary items and regular meeting schedules.

Memo or email to deans, chairs and liaison notifying them that the IT budget has been approved and detailed information will follow in August.

Beginning of August

Notify deans, via memo, the specific IT budget approval for their school.

Beginning of September

Deans can begin to forward purchasing approvals to Information Technology for purchasing.

Beginning of December

Deans submit approved items to be implemented for the next Spring semester

Beginning of January

Letters sent to Deans / department chairs to designate department liaison.

Beginning of April

Remind deans and liaisons, via email or memo, of the budget deadlines that are approaching.

Beginning of May

Communicate with academic departments about summer upgrade plans.

 

Deans submit approved items to be implemented for the next Fall semester.

Beginning of June

Mid-year meeting between school and Information Technology. Review where IT issues stand.

 

 

 

Monthly meetings between deans and director of User Support Services.

 

Regularly scheduled meetings between assistant director of USS and dept. chairs to discuss and review outstanding and new technology issues.

 

Department liaisons and IT Support Specialists will have regular meetings to discuss and review outstanding and new technology issues.

 

 

Department Liaison:

Information Technology has developed guidelines that describe the role of the departmental liaison. This was done for 2 reasons - 1) To know what is needed from an IT perspective and     2) To provide each liaison with an idea of what IT sees as the role of the department liaison.
