Guideline for NTS and USS - Disposal of Equipment

 

Intel – Novell/Windows Servers:

  1. These servers are used in production generally for a period of four to six years.
  2. Upon replacement these machines are stripped of their hard drives, processors and memory. All data is scrubbed of any disposed hard drives.
  3. Serial numbers are given to USS for record keeping and the unit is disposed of by TCNJ’s Environmental Services Department.

 

Sun/UNIX Servers:

  1. Upon end of useful life, some of these machines are traded in to SUN and we are given a credit toward the purchase of replacements.
  2. If a trade-in arrangement is not possible, we perform the steps noted above for Intel-based machines.

 

Network Equipment:

  1. Upon end of usable life, some of this equipment is used as spare parts to maintain what we have in service.
  2. We occasionally contact vendors to try to sell used communications equipment to them. This generally does not prove to be viable since the equipment is too old for resale.
  3. If old equipment cannot be used for parts or sold, it is treated as above (stripped and disposed of).  

 

Desktop Machines/Printers/Media Equipment:

  1. Equipment which is to be recycled and therefore no longer used at The College will be returned to the original equipment manufacturer or another equipment manufacturer for a credit on future equipment purchases. Information is removed from the hard drives by the manufacturer. Any trade-in arrangement should be noted in writing prior to the execution of a contract or part of the RFP/RFQ process.  
  2. If the resale/return value of the equipment is greater than the $26,200 threshold, USS will develop a list and description of the equipment and work with the Purchasing Department to publicly bid on the sale of the equipment.
  3. Equipment with a $0 residual value but in working order, may be donated to interested agencies once the USS Department has determined the $0 value. Any donations must first be approved in advance by the College’s Purchasing Department.
  4. If the equipment is unusable it will be discarded, the hard drives are destroyed by USS and the Environmental Services Department will be notified that the equipment is ready to be picked up. The Environmental Services Department will arrange for the pick up and disposal of the equipment in accordance with all federal, state and local rules and regulations. 
  5. USS will identify by serial number and note on inventory lists all equipment that is disposed of, donated or resold.
