Reporting Services
The Office of Records and Registration provides support to academic and administrative departments in need of current or recent enrollment data by generating focexec data reports. FOCUS is used to access data in the Student Information System (SIS). Reports can be formatted in a variety of types (i.e. Microsoft Excel, Microsoft Access, plain text).
Enrollment Database
Current information for students enrolled at The College are available in the Enrollment Database. Before requesting a report, Departments are encouraged to first review the data available in the Enrollment Database, refreshed at least twice each semester, to see if the information needed is available.

The Enrollment Database is found on the S:\ drive - accessible to department chairs, assistant deans, and academic school deans. If you have a legitimate need to view the enrollment database we can give you access - contact Shirley Daniels at sdaniels@tcnj.edu or at x2838 to request access to the S:\ drive folder.
Institutional Research
The Office of Institutional Research is another source for student or departmental data - that which is longitudinal in nature. The mission of the Office of Institutional Research is to provide College of New Jersey decision-makers with data and analytical reports designed to improve the quality of planning, assessment, and the achievement of goals and objectives. Three services of Institutional Research which may provide data quickly are:
The College of New Jersey Fact Book
The TCNJ Fact Book (http://ir.intrasun.tcnj.edu/factbook/index.html), published yearly by the Office of Institutional Research, is a series of pdf documents containing summary, institution-level data. Past years are also archived on the site. Data on undergraduate and graduate student profiles, and faculty profiles, facilities, and alumni locations, among other information, is available in the fact book.
The Common Data Set (CDS)
The Common Data Set (http://ir.intrasun.tcnj.edu/cds.html) initiative is a collaborative effort among data providers in the higher education community and publishers as represented by the College Board, Peterson's--Thomson Learning, U.S. News & World Report, and Wintergreen/Orchard House. The combined goal of this collaboration is to improve the quality and accuracy of information provided to all involved in a student's transition into higher education. The CDS contains data on such topics as admissions, enrollment, retention, classes, activities, policies, and costs for each contributing institution.

If you require College-wide, School or Departmental-level data in support of accreditation (e.g., Middle States), ongoing academic and administrative assessment, planning, or curriculum evaluation processes that are not available through the sources on the Institutional Research website, please contact the Office of Institutional Research at ir@tcnj.edu or x2797 for assistance.
FERPA - Family Education Rights and Privacy Act
In accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA), a student may request directory information not be released without their consent. The records of those students who have made such requests have been flagged in the Student Information System (SIS). You must inform us if you are using any FOCUS reports for external reporting. In order to insure compliance with FERPA and not release directory information via the FOCUS report specific coding must be used to omit these records. Exceptions to FERPA are made for reports that will be used only internally.
